care.com or craigslist.com is a good start
to see what hourly rate nannies in your area are expecting.
Hours per week.
The number of hours in a week you want to employ your nanny. Please note that we will calculate the hours in a year by
multiplying this number with the number of weeks in a year (52). This assumes that you will continue to pay your
nanny during vacations (your own as well as his/hers). If you find a different agreement with your nanny during negotiation,
you will have to be aware that the numbers the calculator gives you do not account for these off times.
Gross pay per week.
This is the number of hours per week multiplied with the hourly rate. Note that this is typically neither your full
expense nor what the nanny will receive after paying taxes. When do you have to pay other items like federal and
state taxes? Here is the IRS publication with all the details.
Gross pay per month.
The base pay for a month. Again, this is typically neither your full expense nor what your nanny will receive after taxes.
The calculation for this number assumes that you pay your nanny every week of the year, and then breaks down this value
on a per month basis. If you pay your nanny every month for the hours worked, expect some fluctuations here. Also, you might have
negotiated with your nanny about your and her vacation days. This can reduce the amount that you actually will need to pay.
Gross pay per year.
The base pay for a year. Assumes that your nanny works the number of hours per week you specified for each of the 52 weeks in
a year. This depends on the agreement you reached for vacation time. Again, this amount is typically neither your full expense
nor what your nanny will receive after taxes. When do you have to pay other items like federal and
state taxes? Here is the IRS publication with all the details.
Socaial Security employer per month
This is the employer part of the social security tax you have to pay for your household employee. For 2016, the employer part of
the social security tax is 6.2% up to a certain limit. You typically need to pay this expense, but there are exceptions. Here is the
IRS publication. with the details about when you are excluded.
Medicare employer per month
This is the employer part of the medicare tax you have to pay for your household employee. For 2016, the employer part of
the medicare tax is 1.45%. You typically need to pay this expense, but there are exceptions. Here is the
IRS publication with the details about when you are excluded.
Federal Unemployment per month.
This is what you need to pay for federal unemployment. Again, the exact rules are complicated. Here is the
IRS publication. However, in most situations, you need to pay
0.6% for unemployment insurance for the first $7,000 you pay your nanny. This calculator assumes that you pay the nanny for the
full year, and uses this amount as the basis to calculate what you need to pay per month. If you plan to employ your nanny for
less than a year, the value stated here will be an overestimation. The federal unemployment tax you need to pay also depends
on the state you live in. Go here to find more

State Tax per month.
This depends very much on the state you live in. This calculator starts with a value of 1.14%, because this is what we
had to pay in Washington State. Your state can handle this in different ways. For Washington State, which is the state we
live in, the state sends you a note with the tax rate after you apply for your business. 1.14% was our rate for 2016.
Allowance per week.
When you employ a nanny, you might want her to take your children to the zoo, get food for your children when they are outside, or do
other activities with your children that cost money. You will have to spend and account for that money. Be aware that there are specific rules when
the money also covers food/drink for the nanny himself/herself. In this case, there might be tax implications that are described
here.
Total cost.
The total cost per week, month, year sum up all the fields in the calculator. These are estimates of what you will have to
expect to spending on your nanny. Keep in mind that these are estimates. Federal and state taxes and regulations are complicated,
and things can vary based on your specific situation.

How does a DIY payroll service work?

Our services does what computers do great – it makes calculations and saves payments and paychecks. That leave’s two main tasks for the employer (you). First, you need to pay your nanny each week. Second, you need to file your taxes with the government.

Why not just use a speadsheet?

Most household employers begin using a speadsheet and that’s perfectly fine. But you’ll eventually hit a couple of problems. First, it’s too easy to change data by accident. Enter a number in the wrong field and your whole year of data could get corrupted. Second, if tax rates or the nanny’s pay rate changes, it’s hard to fix the speadsheet while preserving past data. Finally, you need to remember to regularly back up your data.

How should I pay my nanny?

Generally, nanny’s prefer to be paid weekly and in cash. If that’s problematic, and you prefer not to write a check, try our favorite service Venmo. That said, paying is usually easy, since the Department of Revenue at your state and locality want you money. How Much Will a Nanny Cost?

One of the most common questions we hear is: “How much will my nanny cost?” There are a lot of considerations that need to be addressed before answering that question. Our partner GTM Payroll Services has put together a thorough list of factors that go into what you’ll pay your nanny.

11 Factors When Budgeting for a Nanny

1. Hourly rate of pay

This will be your biggest expense in budgeting for a nanny. There are several influences on how much you’ll pay your nanny such as:

  • cost of living in your area
  • a nanny’s skills, experience, training, and education
  • live-in or live-out (live-in nannies could be paid less because they are receiving room and board)
  • full-time or part-time
  • number of children in your nanny’s care

Remember it’s the law to pay your nanny an hourly rate and not a salary.

The International Nanny Association’s Salary and Benefits Survey is a good resource to get a sense of the going rates in your area for a nanny with your desired skill set.

Always negotiate wages with your nanny based a gross hourly rate. This is their pay before taxes and other deductions. Nannies can use a nanny tax calculator to determine their net – or take home – pay. A nanny’s net pay can vary depending on how much income tax they want to be withheld from their wages.

2. Overtime

The federal Fair Labor Standards Act requires nannies and other household employees to be paid overtime for hours worked over 40 in a week. Your overtime rate needs to be at least time-and-a-half. So if you employ a nanny for 50 hours a week at $20/hour, their weekly gross pay will be $1,100 (40 hours x $20 + 10 OT hours x $30). State laws may vary and supersede federal law if it is more beneficial to your employee.

3. Nanny taxes

If you pay your caregiver $2,100 or more in a calendar year, you’ll owe employment taxes. You’ll pay 7.65 percent of your nanny’s wages into their Social Security (6.2 percent) and Medicare (1.45 percent) accounts. These are called FICA taxes and you’ll withhold the same amount from your nanny’s pay. Or you can choose to also pay your caregiver’s share of FICA taxes.

If you pay your nanny $1,000 or more during any calendar quarter, you’ll also pay federal unemployment taxes, which is six percent on the first $7,000 in wages. You may also owe state unemployment, which can be around two to five percent on a certain amount of your employee’s gross wages.

A comprehensive nanny tax and payroll service can manage all of your tax and wage responsibilities for $65/month. You could also try to do it yourself or pay your accountant to handle your payroll and tax obligations.

4. Workers’ compensation insurance

Your state may have a workers’ compensation requirement for household employers (in New York, it’s mandatory if your nanny works at least 40 hours in any week). Coverage may cost a few hundred to several hundred dollars a year. Only a couple of states – California and New Jersey – allow you to add workers’ comp for a household employee to your homeowner’s policy. Get a workers’ compensation quote from GTM Payroll Services.

Benefits

Offering health benefits or a retirement plan is a great way to attract the best candidates for your position and increase your employee’s job satisfaction. Benefits can be affordable (concierge medicine is only $12/month) if you’re making contributions and may offer some tax savings. If your nanny makes pre-tax contributions to a health plan, that lowers their gross wages and your tax liability.

6. Agency or online job site fees

Searching for a caregiver should also be part of your budgeting for a nanny. You may be able to find a nanny through a referral from a friend, neighbor or colleague. Social media outlets like Facebook groups are another free way to post your job. But many families end up using an online job site or a nanny placement agency to find their nanny.

Free searches on online job sites are usually limited so you wind up paying their monthly fee. Just remember to cancel your membership when you no longer need it as some sites will continue to automatically bill you even if you’re not using the site.

An online job site will cost less than a nanny agency but they aren’t as efficient as you may think. Families going through an agency spend less time on the hiring process, find higher quality nannies, and keep them for longer than those using an online job site. The nanny agency’s placement fee may well be worth the investment. An agency will also help you with job descriptions, interviewing, and work agreements as well as provide other resources.

7. Back-up care

Here’s another area where an agency can be helpful. There will be times when your nanny calls in sick or takes paid-time off. An agency may be able to send a temporary caregiver to your home for the day or even for a week if your nanny is on vacation (A New England Nanny can do this). There is a cost involved but it may be more convenient if you can’t take time off work or rely on family or neighbors to help out. Your employer may also offer back-up care as a benefit.

8. Background checks

Your agency likely has performed background checks on all of their candidates saving you the time and expense to perform them (yes, A New England Nanny does this). If you aren’t going through an agency, you can expect to pay about a couple hundred dollars to get comprehensive background checks on your nanny. These can include checks of the sex offender registry, criminal convictions, driving record, Social Security number, credit history, professional licensing as well as drug testing.

9. Year-end bonus and raises

According to our recent survey of nannies, most receive a year-end bonus of at least $750. You may also want to consider potential raises after performance reviews. If you find a great nanny, you’ll want to do everything in your power to keep them on board. Providing feedback on their performance, setting goals, and rewarding excellent work helps keep your nanny happy and engaged in their work.

10. Entertainment and activities

Will your nanny take your kids to the zoo, museums, pool, theater, beach, movies, out to lunch, or to any number of entertainment venues or educational opportunities? This may mean signing up for memberships or planning ahead to buy discounted tickets. You could give your nanny cash to pay for these expenses or provide them with their own credit card. Or your nanny can pay with their own money and provide an expense report for reimbursement. However you manage these activities, they should factor into your budgeting for a nanny.

11. Transportation costs

If your nanny will be taking your children out of the house, you’ll need to consider modes of transportation. Will they use public transit like buses or the subway? Then they’ll need passes. Or will your nanny drive? If your nanny is driving, will they use their own car or will you provide one? You may be better off having your nanny drive a family car. That way you’re in control of the vehicle’s safety and maintenance. You’ll just need to add your nanny to your auto insurance policy. You may see a slight increase in your auto insurance premium if your nanny is young or has a poor driving record.

If your nanny will drive their own car, you could reimburse them for mileage. The IRS standard mileage reimbursement rate is 58 cents/mile.

Tax Savings

So far we’ve detailed your expenses from wages to benefits to transportation costs when budgeting for a nanny. Now let’s get into how much you can save on your taxes. There are two main ways to realize tax savings on your childcare costs.

Flexible Spending Account

Your employer may offer a dependent care flexible spending account (FSA). You can contribute up to $5,000 a year into an FSA if you’re a single parent or a married couple filing a joint tax return, or up to $2,500 a year if you’re married and filing separately. An FSA lowers your taxable income as funds are taken out of your paycheck before taxes are calculated. You can then submit your nanny’s wages as a childcare expense to be reimbursed from your FSA.

Child and Dependent Care Tax Credit

With the Child and Dependent Care Tax Credit, you can count up to $3,000 in expenses for one child and up to $6,000 for two or more children. The amount of the credit is based on your adjusted gross income and ranges. Most families that hire a nanny get a tax break of 20 percent of their expenses (up to $600 for one child and $1,200 for two or more children).

Withholding Tax | Virginia Tax

Filing Requirements

As an employer required to file withholding returns, you must register for withholding tax, file income tax withholding returns, and pay the income tax to Virginia Tax.

Employers must file withholding returns whether or not there is withholding tax owed. The Commonwealth deems the amounts withheld as payment in trust for the employees’ tax liabilities.

Filing Frequencies
  • If your withholding liability is less than $100 per month, your withholding returns and tax payments are due quarterly.
  • If your withholding liability is more than $100 but less than $1,000, your withholding returns and tax payments are due monthly. 
  • If your withholding liability is $1,000 or more, your withholding returns and tax payments are due semi-weekly. 

See below for details for each filing frequency.

Quarterly Filers

If your average tax liability is less than $100 per month, you will be assigned a quarterly filing status. Quarterly returns and payments are due on the last day of the month following the close of each quarter, as shown below. File your returns on Form VA-5 using eForms (VA-5 Quarterly eForm), your Business Account or Web Upload.

Quarterly filers must also file Form VA-6, Employer’s Annual Summary of Virginia Income Tax Withheld. The VA-6 is due to Virginia Tax by Jan. 31 of the following calendar year, or within 30 days of the final payment of wages by your company. When you file Form VA-6, you must submit each federal Form W-2, W-2G, 1099, or 1099-R that shows Virginia income tax withheld. You must submit Form VA-6 and all W-2 and 1099 forms electronically.

Monthly Filers

If your average tax liability is more than $100, but less than $1,000 per month, you will be assigned a monthly filing status. You must file your returns on Form VA-5 using our free online filing services: eForms, Business Account or Web Upload. The VA-5 is due on the 25th of each month (for example, the return for January is due February 25).

Monthly filers must also file Form VA-6, Employer’s Annual Summary of Virginia Income Tax Withheld. The VA-6 is due to Virginia Tax by Jan. 31 of the following calendar year, or within 30 days after the last payment of wages by your company. When you file Form VA-6, you must submit each federal Form W-2, W-2G, 1099, or 1099-R that shows Virginia income tax withheld. You must submit Form VA-6 and all W-2 and 1099 forms electronically.

Semi-Weekly Filers

If your average tax liability is more than $1,000 per month, you will be assigned a semi-weekly filing status. Your payments will be due within 3 banking days if the amount of Virginia income tax withheld exceeds $500 on any federal cutoff date for semi-weekly withholding. Federal cutoff dates are generally on Tuesday and Friday of each week, as shown in the table below. You must submit your payments electronically using Form VA-15.

Semi-weekly filers must file Form VA-16, Employer’s Payments Quarterly Reconciliation and Return of Virginia Income Tax Withheld, for each quarter. The VA-16 must be filed electronically and is due by the end of the month following the close of the quarter:

Certain employers may request a waiver from the Virginia semi-weekly filing requirement. To request this waiver, the employer must have no more than 5 employees subject to Virginia income tax withholding. See Tax Bulletin 15-3 for more information.

Annual Filing Option for Household Employers (Nanny Tax)

Employers of household service employees may elect to file and pay the Virginia income tax withheld from their employees’ salaries on an annual basis, at the same time they submit the employees’ Forms W-2 for the year. In order to qualify for the annual filing, the employment must consist exclusively of domestic service in the private home of the employer as defined in the Federal Employment Tax Regulations. Employers may register for this filing option online, or by using Form R-1H. See Household Employer (Nanny Tax) for more information.

Employer’s Annual or Final Summary of Virginia Income Tax Withheld

All filers must file Form VA-6, Employer’s Annual Summary of Virginia Income Tax Withheld or Form VA-6H, Household Employer’s Annual Summary of Virginia Income Tax Withheld. The VA-6 and VA-6H are due to Virginia Tax by Jan. 31 of the following calendar year, or within 30 days after the final payment of wages by your company. You may file your VA-6 or VA-6H using eForms, Web Upload, or your Business Account. 

When you file Form VA-6, you must submit each federal Form W-2, W-2G, 1099, or 1099-R that shows Virginia income tax withheld. You must submit these forms electronically using eForms or Web Upload.

Household Employer Withholding Tax (Nanny Tax)

Employers of certain household employees have the option of reporting and paying the Virginia income tax withheld from those employees on an annual basis. For the employer to qualify, the employment must consist exclusively of domestic service in the private home of the employer, as defined in the Federal Employment Tax Regulations.

The annual filing provision is a filing option for qualified employers. It does not establish a new requirement for withholding. Unlike the federal “nanny tax,” the Virginia household employer’s withholding tax is filed on a separate return, and is not included in the employer’s personal income tax filing. If you choose to register for this annual filing option, you will be required to file Form VA-6H, the Virginia Household Employer’s Annual Summary of Income Tax Withheld, by Jan. 31 each year to report and pay the Virginia income tax withheld for the preceding calendar year. You must file Form VA-6H online, either through your online services account or through eForms.  

Basic Instructions for Household Employers

Before you begin, make sure you are liable to withhold Virginia income tax from the wages of your household employee(s). If the wages are not subject to federal withholding, they are not subject to Virginia withholding.

Information on corresponding federal requirements is available from the IRS, and unemployment tax information, including an annual filing option, is provided by the Virginia Employment Commission.

Registration

To register for a household employer’s withholding tax account, complete Form R-1H, or register online. If you are already filing for a domestic employee under a regular quarterly or monthly withholding tax account, be sure to close that account when you register for your new household employer’s account, and request that any payments made for the current year be transferred to the new account. Once you register for a household employer’s withholding tax account, you must file a Form VA-6H for each year that you keep the account open, even if you have no tax to report. Failure to file could result in penalties of up to 30% of the tax due.

How to File and Pay

Form VA-6H must be filed by Jan. 31 each year, with copies of each W-2 issued to a household employee during the previous calendar year and payment for the tax due.

Qualified Employers and Employees

What is a household employer? What does it mean to have household employer status?

A household employer is an individual who employs 1 or more people solely for the purpose of domestic service in the home of the employer. For Virginia purposes, “household employer status” means that you meet this requirement and have registered for a Virginia household employer’s withholding tax account. This registration allows you to file your withholding tax on an annual basis, rather than using the quarterly or monthly filing status required for most other employers.

How do I know if an employee qualifies as a household employee?

The employee must be classified as an employee performing domestic service under federal definitions. This category includes employees such as nannies, babysitters, housekeepers, gardeners, elder-care workers, in-home nursing care providers, and others who provide domestic services. For details, refer to the Federal Employment Tax Regulations, which are available at www.irs.gov.

If I have a household employee and other business employees, can I include tax for all of them on my annual Virginia Household Employer’s return?

No. You must report information on non-household employees under a separate withholding tax account for your business.

I have a small business that I run from my home with only 1 or 2 employees. Can I sign up for household employer status?

No. The household employer annual filing option is available only to employers whose employees provide domestic service in the home. You should register for an employer withholding tax account to report the taxes for your business employees.

Who Should Register

Federal law allows me to file my “nanny tax” on an annual basis, and I would like to do that for Virginia. Should I register for a household employer’s withholding account?

As long as you meet the federal requirements, you may register as a household employer for Virginia purposes. Keep in mind, however, that the reporting and payment is done on a separate return, Form VA-6H.

I just hired a nanny. Do I have to register for a household employer’s withholding tax account?

Not necessarily. As described under Basic Instructions for Household Employers, you need to determine whether you are required to withhold Virginia income tax from your employee’s wages. If withholding is required, you may register for a household employer’s account, which allows you to file annually, or you may register for an employer withholding tax account, which will require quarterly filing.

I have a gardener who has always handled his own taxes, because the wage amounts are too low for withholding to be required. Do I need to sign up for a household employer’s account?

No. You don’t need to register for an account unless you are actually required to withhold Virginia income tax from your employee’s wages.

What is the nanny tax?

Those who control how their work is done and provide their own tools and supplies are typically self-employed. Nanny unemployment tax

You may also be responsible for federal unemployment tax (FUTA) if you pay your nanny $1,000 or more in any one quarter. Contact your state unemployment insurance agency to determine whether FUTA, state unemployment tax or both are required.

Nanny income tax

The IRS generally doesn’t require you to withhold federal income tax from a household employee’s wages unless the employee requests it and you agree to it. In cases such as this, a Form W-4, Employee’s Withholding Certificate is used to determine the amount of federal income tax to withhold. If either you or your nanny decide to end your income tax withholding agreement, it usually must be done in writing.

State and local income tax may also apply. Check with government agencies in your area for specific withholding requirements.
